Day of Coordination and Management Services

Services to begin 6 weeks prior to the event date

  • Two meetings:

    • First meeting – Review all vendor contracts provided by the client, meet at the venue for a walk-through, and produce a short timeline

    • Second meeting – Final detail meeting with client to review all requests and details

  • Unlimited emails and phone calls during the six-week period before the event date

  • Provide the client with marriage license information

  • Preview all vendor contracts, signed, and executed by the client

  • Review client-provided space plan and revise any changes if necessary

  • Review and proofread BEO (Banquet Event Order) provided by the catering manager at the venue

  • Contact service providers for arrival and end times, including strike time

  • Communicate venues, policies, and procedures for unloading, set up, and tear down

  • Confirm all vendor, orders, and quantities on rental items

  • Distribute the Client’s approved timeline to all vendors at least one week before the event day

  • Prepare and handle final payments and gratuities to vendors

  • Orchestrate ceremony rehearsal with bridal party and family

  • Meeting online with musicians on event song selections

  • Manage and communicate to banquet staff about set-ups and compliance with floor plans

  • Assist with setting up seating cards, menu cards, place cards, table numbers, favors, sign-in guest books, etc.

  • Establish timing for a grand entrance, first dance, dinner, cake cutting, bouquet toss, and garter toss-and last dance

  • 1-4 Assistants are needed for weddings based on headcount and details

  • Rates for Assistants begin at $300 per day and are based on geographical location
