Schedule and attend meetings with the following service providers based on Client’s needs

Research Hotel Accommodation options & Contract Group Room Blocks
Assist with wording and selection of stationery for Save the Date Cards and Invitations
Place orders for any rental items including Chairs, Linens, Draping, Lounge Furniture, Dance Floor, Specialized China, Glassware, Flatware, Props, etc.
Provide referrals for Wedding Gown Boutiques, Bridesmaid Dress Stores, Officiants, Transportation, Hair Stylists, Make-up Artists, Tuxedos, etc.
Review all the vendor proposals, and recommend the best choice to hire.
Florist referred by Memories by Design provides a complimentary mockup table centerpiece
Attend meetings with the Catering Manager on Menu food choices, banquet timeline, and set up
Review and proof BEO (Banquet Event Order) provided by the Catering Manager
Communicate and manage all staff regarding setups and compliance with floor plans
Receiving and handling of final guest count by mail
Organizing of final guest list attending, and all attending guest food choices (due 15 days prior to event date).
Pre-event day Management
Produce both a long timeline of the wedding day
Review terms of final contracts of all service providers
Contact service providers for arrival and end times, including strike time
Communicate the venue’s policies and procedures for unloading, setting up, and tearing down
Communicate timing with band musicians/DJ for grand entrance, first dance, cake cutting, bouquet and garter toss, and last dance
Confirm all vendor orders and quantities on rental Items
Distribute Client- approved timeline to all vendors at least 1 week before the wedding date
Assist Officiant and orchestrate ceremony rehearsal with bridal party and family
Communicate with musicians on ceremony song selections and cueing wedding party for processional
Provide venue with final guest count and per table food choice (sit-down dinner only).
Provide venue with vendor count during the dinner hour
Provide the client with marriage license information
Event day management
Receipt of all final payments and gratuities for vendors from Client
Present for all delivery and setup by all vendors
Manage banquet staff during setup according to the provided floor plan
Attend sound check with band musicians/ or DJ and review formalities and song selections
Setup Client-provided seating chart/cards
Direct ushers with seating and program distribution
Attain and distribute all wedding gifts.
Setup of gift table and handling of all gifts securely
Provide Officiant with Marriage certificate, handle Wedding rings, and wedding Vows books.

Prepare and handle final payments and gratuities to vendors and staff
1-3+ Assistants are required for weddings based on guest count and ceremony/ reception locations. Rates for Assistants vary based on geographical locations. Please inquire with Wedding Planner for Assistant rates.
